Boxes on every edit screen

Pages, tasks, news stories, blog posts, events and the other content types in a Govintra intranet share most of their edit screen. This page describes the shared boxes once, in the order they appear, and says what each one changes on the live intranet. The articles for each content type, such as Add or edit a page and Add or edit a blog post, cover only what is particular to that type and link here for the rest.

Some boxes appear only when a module is on under Options, Modules. The WordPress boxes can be hidden with Screen Options at the top right, so check there first if one is missing. The table at the end shows which content types have each box.

Title and permalink

The title is shown at the top of the item and in every listing, search result and card that links to it. The permalink under the title is made from the title when you first save; select Edit next to it to shorten or tidy it before publishing.

Anything in square brackets in a title is hidden on the live intranet. Write “Expenses policy [Draft]” to mark the item in the admin lists, and visitors see only “Expenses policy”. The brackets stay visible in the admin screens.

The editor

The main editor is the Classic Editor on every content type unless an administrator turns on Enable Block Editor under Options, General. The toolbar has two dropdowns that the theme controls:

  • The Paragraph dropdown offers Paragraph and Heading 2 to Heading 5 only. Heading 1 is reserved for the title.
  • The Formats dropdown holds Clear float (start below image). Apply it to the paragraph that should start beneath an aligned image instead of wrapping beside it.

The toolbar also has a shortcode inserter button. It opens a dialog listing the theme’s shortcodes with a field for each option, then writes the finished shortcode into the content. Always available are list documents, list posts, landing page, child blocks, page tree, list tags, short tags, card grid and the accordion. People, user tags, list events, event add and team news appear when their modules are on. See Available shortcodes.

When Accessibility copilot is on under Options, General, every save checks the content and the rich-text boxes such as Sidebar content. Warnings appear at the top of the screen for tables with no header row, hard-coded colours or fonts, images without alt text and link phrases such as “click here”. They do not stop the save.

Format

The Format box appears on news stories, blog posts and tasks. Leave it on Standard unless you want one of these behaviours:

  • Status marks a news story as “need to know”. The Need to know widget lists these stories and hides each one once a reader has opened it, and aggregator listings can show or leave them out. It has no effect on blog posts or tasks.
  • Link replaces the editor with an External link box. Enter the full address, including https://, and visitors who open the item are redirected to it. It still appears in listings and search. See Automatically redirect to an external URL.
  • Video and Audio add a Media embed box. Paste a YouTube, Vimeo or other embeddable address and the player is shown at the top of a news story or blog post, in place of the featured image. Tasks show the box but not the player.
  • Gallery and Image change nothing on the page.

Publish box and previews

The Publish box holds Save Draft, Preview, the status, the visibility and the publish date. Set a future date and the button changes to Schedule. See Save, preview, schedule and publish pages and posts.

When you preview anything that is not published, a badge at the top of the page names its status: “Draft preview”, “Pending review preview”, “Scheduled preview, publishes 14 October 2026 at 9:00 am” or “Bin preview”. Only people who can edit the item see the preview, and items in the bin can still be previewed.

Excerpt

The Excerpt is a one or two sentence summary shown by listings, cards and search results. Pages have an excerpt box too. Without an excerpt the theme trims the start of the content to about 30 words, so write one whenever the content opens with a heading, a list or an image. See Generate an excerpt.

Featured image

The Featured image is used by listings and cards that link to the item. News stories, blog posts and events also show it at the top of the page; pages and tasks do not. See Set a featured image, and Check the WordPress settings for the image sizes the theme expects.

Discussion and author

Discussion has the Allow comments tick box. New tasks, events, training courses, vacancies, projects and teams start with comments closed. New news stories, news updates, blog posts and pages follow Settings, Discussion. Untick the box on a single item to remove its comment form. See Allow comments on a news story or blog post.

Author sets the person shown as responsible for the item. Blog posts show an author card, and pages and tasks can show the author through the About this page widget. Change it when the writer is not the owner. Which roles can do what is covered in Roles and capabilities; some sites use custom roles.

Document attachments

Attach files for people to download. Select Add document for each file, choose or upload it from the media library, and give it a Display title if the file name is not clear. Leave it blank to use the file’s own title. Drag rows to reorder them.

The files appear below the content under a Documents heading, each with an icon for the file type, the title as a link, and the type and size, such as “PDF, 240 KB”. Rows with no file are ignored.

Related content

Pick pages, news stories, news updates, blog posts, events, tasks, projects, vacancies or training courses to list in the right-hand sidebar under a Related heading. Type to search, select to add, drag to reorder. Only published items are listed, so a draft you pick appears once it is published.

Related links work both ways. If page A lists page B, the sidebar of page B also lists page A, after B’s own picks. An administrator can switch off these return links with Hide reciprocal related links under Options, General; see General intranet options. If nothing is picked and nothing links back, no list is shown. On pages, the list appears on the default layout and Page with left navigation from theme 5.3.48 onwards.

Sidebar content

Optional rich text for the top of the right-hand sidebar, above the Related list and any widgets. It has the full editor toolbar and can include images and links. Use it for a contact box, a deadline or a short warning that should sit beside the content. The front page has no sidebar box; its sidebar comes from widgets.

Associated teams

Appears on news stories, news updates, tasks, blog posts and events when the Teams module is on. Choose the team or teams the item belongs to. Aggregator page blocks and team pages use it to list a team’s own content. Nothing is shown on the item itself.

Keywords

The Keywords box is the last of the theme boxes under the editor. Enter words people might search for that are not already in the title or content: synonyms, acronyms, old names, common misspellings. Separate words with spaces; commas are turned into spaces when you save. A word in square brackets, such as “[Payroll]”, is not searched but adds an extra A to Z entry pointing at this item. The box can be left blank. See Find out the difference between tags and keywords.

Tags

Tags group content from across the intranet by theme: a “meetings” tag might cover a room booking task, a catering news story and a training course. Tags appear as pills in sidebars. Administrators see the standard WordPress box and can type new tags. Everyone else sees tick boxes for the existing tags, so new tags must be requested from an administrator. Categories and other taxonomies

Tasks have Categories, the sections of the How do I? page. Other types have their own grouping boxes: News types, News update types, Blog categories, Event types, Course types and Grades. Only administrators can create, rename or delete terms in any of these lists. Everyone else chooses from the existing list. See Taxonomies.

Page Attributes

Pages, tasks, projects and teams have Page Attributes with Parent, Template (pages only) and Order. Parent makes the item a child of another, to build page hierarchies, guides and team structures. The Parent dropdown lists drafts, pending, private and scheduled items as well as published ones, so you can build a section before it goes live. Order sets the position among siblings in guide chapters and left-hand navigation.

A to Z letters

When the A to Z module is on, pages, tasks, teams, projects and training courses have an A to Z letters box. Tick the letters the item should be listed under; they are not worked out from the title. For entries under other names, use square brackets in Keywords. See Add an item to the A to Z index.

Search

Published items are searchable straight away. The Relevanssi box on the edit screen can exclude an item from search results, and with Relevanssi Premium it can pin the item for chosen search terms. The theme removes Pin for all searches on save and shows a notice, since it would put the item first in every search. See Stop something appearing in search results.

Likes

A like button appears after the Documents list when Enable likes is on under Options, General and the content type is ticked under Likes post types. There is nothing to set on the edit screen itself.
