Add or edit a vacancy

Vacancies are job adverts with a closing date. They appear on the Vacancies page, in the Vacancies widget and in search results until the closing date and time pass. The Vacancies module must be on under Options, Modules, and on its Vacancies tab choose the page that uses the Vacancies listing template as the Vacancies page. See Vacancies template.

Go to Vacancies, then Add vacancy. Contributors can draft, authors can publish their own, and editors and administrators can publish and edit any vacancy.

Title and content

The title is the job title, with the team if that helps people scan the list. Put the job description, how to apply and who to contact in the main content. The Excerpt box, if you turn it on under Screen Options, gives the short summary shown on the Vacancies page; otherwise the first 25 words of the content are used.

Vacancy details

The Vacancy details box sits under the editor. Everything you fill in here is shown in a panel at the top of the vacancy page, each with its own label; anything left empty is left out.

Reference number

Optional. The job reference from your recruitment system, shown as “Reference” on the page and in the listing.

Closing date

Required. Pick the last day applications are accepted. The Vacancies page sorts by this date, soonest first, and shows “Closes” with the date on each entry.

Closing time

Required. Type the time on the closing day in the 24-hour clock, such as 17:00 or 23:59. On the closing day the listing shows the time in bold and the widget shows a “Closing at” alert, and the vacancy stays listed until that time has passed.

Team

Optional. Choose one team from the staff directory’s teams; it needs the Teams module. Shown as “Team” on the page and in the listing.

Project

Optional. Choose one project; it needs the Projects module. Shown as “Project” on the page.

Location

Optional free text, such as a building or “Hybrid”. It is not linked to the staff directory’s locations list. Shown as “Location” on the page and in the listing.

Grades

Tick the grade or grades in the Grades box on the right. Grades are shown on the page and in the listing, and the Vacancies page offers a pill for each grade so people can filter to their level. Manage the list under Vacancies, Grades; the same list is used for staff profiles when the staff directory is on. See Grade.

Documents, related content, sidebar and keywords

These boxes work as they do on tasks: see Add or edit a task. Attach the job description and application form under Document attachments; they are listed under the content with a Documents heading. Related content and Sidebar content fill the right-hand sidebar, followed by any widgets in the Vacancy Sidebar area. Keywords add search terms, such as an old job title.

Tags and featured image

Tags appear in a “Browse by tag” cloud on the Vacancies page, so a tag such as “part-time” or “apprenticeship” lets people find similar roles. Vacancies do not use categories or the A to Z. A featured image, if set, is shown on the vacancy page between the details panel and the content.

What happens when a vacancy closes

Once the closing date and time have passed, the vacancy drops off the Vacancies page and out of the widget’s closing-soon list automatically; there is nothing to do. The page itself stays published, so anyone with the link, and anyone who finds it in search, can still open it. Search results show its closing date, which makes a closed vacancy obvious. If you want it gone completely, change it to a draft or move it to the Bin, or keep it out of search with the Relevanssi box: see Stop something appearing in search results.

To extend a deadline, change the closing date and time and update; the vacancy reappears on the listing straight away.

The Vacancies widget

The (Govintra) Vacancies widget lists vacancies closing within a number of days (30 by default) in closing order, then the most recently published vacancies under Latest. The Latest section goes by publish date, not closing date, so change a closed vacancy to a draft if you do not want it lingering there.
